BOARD OF DIRECTORS’ MEETING MINUTES
JEFFERSON COUNTY LIBRARY COOPERATIVE
Thursday, November 8, 2007, 9:30 a.m.
Hoover Public Library

Board Members/Associate Members in attendance: Del Wilson, Irondale, Patrick Coleman, Tarrant, Renee Blalock, BPL, Barbara Sirmans, BPL, Hope Long, Botanical Gardens, Taneisha Young, Vestavia, Sue Murrell, Emmet O’Neal, Doris Jarvis, Leeds, Connie Smith, Gardendale, Linda Andrews, Hoover, Leslie West, Bessemer.

Board Members or Associate Members not in attendance: Leslie West (Bess), Cecile Lemley (Adam), Judy Smith (Gray), Carolyn Wright (Huey), Faye Pugh (Warr), Cristi Starkey (FU), Pam Lyons (BPL), Jeff Parsons (MD), Lora Perry (WJH), Edith Harwell (HW), JCLC director Pat Ryan.

Staff and others in attendance: Carrie Steinmehl (Hoover), Valerie Holmes (Truss), Michelle Devins (JCLC trainer), and Cynthia Brown (JCLC).

Call to Order by President Sue Murrell.
A quorum was not in attendance (13 required for a quorum - 8 voting directors attended this meeting); vote will need to be ratified at the January meeting.
Adoption of Agenda (handout) Items added:
The agenda was approved. The JCLC Organizational Staffing Chart, as well as Linda Andrews with a display of her library’s renovations were added to the agenda.
Minutes of Oct. 11, 2007 meeting were approved and will be filed.

WebJunction Demonstration – Michelle Devins, JCLC Trainer
At the beginning of the meeting Michelle Devins gave a website demonstration of Webjunction, the online staff training website made available by APLS. There is no cost to Alabama library staff. The website address is webjunction.org. Register by using name and email address. The courses cover specific topics such as starting a blog, wikis, excel, powerpoint, library courses, etc.

Michelle demonstrated the community portion of the site, such as - getting started using Webjunction, emerging technologies, programming ideas, and services to older adults. Click on the Webjunction course catalog to see what is available. Michelle suggested that library directors encourage their staff to use the self-paced courses.

Debbie Dahlin has designed training courses (LED courses) for BPL employees for library assistants and for librarians that select materials. Debbie Dahlin can answer any questions regarding the LED courses.

Collection Management/Innovative Project Reports

Discussion took place regarding Auralog language online program to replace RosettaStone. The staff reviews of the trial have been good. The price is somewhat higher, but languages and features are similar. The question was asked how long the contract would be for. Barbara Sirmans made the motion that we adopt Auralog for a one year contract for unlimited access for the languages offered. Some small and medium size libraries have agreed to increase their amount. Pat Ryan will send out an updated spreadsheet with the increased amounts. The motion was seconded by Linda Andrews. The motion carried.

OLD BUSINESS

Murrell - Retreat Wrap-up
The revised JCLC organization staffing chart sent by email was distributed and reviewed. JCLC should consider inviting Jeanne Goodrich back to work specifically on our 5-year plan. Sue liked the grounds rules for meetings. Linda suggested that we find a way for directors to talk to each other about issues and concerns. Shortening the agenda was suggested. Barbara suggested a directors’ blog. Renee suggested directors’ add issues/concerns which they would normally send via email to the directors’ blog instead. Michelle agreed to set up a directors’ blog and will train directors how to use the blog. She will send an invite to each director to sign up to use the blog. Training will be planned. Sue suggested that we add a list of the board and executive board members to the JCLC intranet.

NEW BUSINESS:
Sue announced the next Lunch Bunch forums to be held by region:
· January 10th at 12 noon for the North Region (Gardendale)
· February 14th for the Eastern (Springville Road)
· March 13th for the Southern Region (Mtn. Brook)
· April 10 (Five Points West) for the Western Region.

Cynthia will send out the breakdown of the regions and dates with libraries hosting the regions. (JCLC provides lunch).

Sue thanked Barbara for allowing her coordinators to be a part of the lunch bunch. Each director should think of 3 things they would like for the cooperative to do for them for the next lunch brunch.

DIRECTORS’ ISSUES/INFO TO SHARE

Innovative Issues: Del Wilson decided to buy a new receipt printer that she and the staff really like. She would like for Automation to explore other options for libraries to use. She bought an Epson T8111-4 receipt printer and she said it is wonderful. It is small and half the size of the other printer she bought. Maybe, in the directors’ blog ideas like this can be added.

Linda Andrews asked if anyone has used a DVD repair machine. She wants to know if JCLC will go in with her to buy the machine. You can clean about 50 DVDs at one time. The cost is between $5,000-$6,000. She will move forward with buying this machine in about two weeks, Linda will send information to the directors.

Linda Andrews presented the Hoover Public Library Redesign project which showed the completed project on a display board. She discussed details and how several city employees helped with the design to achieve the goal. (handouts)

Ad Hoc Committee Reports
· Training Committee – Contact Michelle Devins for training (to contact Michelle for training) Webjunction site go to www.infosalad.wordpress.com.
· Born to Read Committee (no report at this time)
· The Big Read Committee – Del Wilson & Renee Blalock – Word Up Flyer (handout) Renee asked directors to send in their programs for the Spring Reader. There will be an Alabama Bound Party. Linda requested that someone, or the PR firm, investigate where to place billboards because Vestavia and Hoover has no place for them in their cities. Renee will investigate further with the PR firm.
· Contract Committee – D. Wilson/Doris Jarvis Co-chairs – Directors want to have a chance to review by-laws first, prior to review of the contract. If you have suggestions contact Del or Doris soon. Renee recommended the legal name include Public Libraries of Jefferson County, Inc.

Data Services Round Table: Doris Jarvis - Leeds nothing to report
Readers Advisory – Leslie West next meeting will be December 12th they will talk about audio books, they only meet 6 times a year.
